ResidentPortal’s AI Assistant a game-changer for request management
ResidentPortal, the comprehensive online portal designed for managing community schemes, has added yet another powerful feature to its features arsenal: an AI-powered request management system.
Omar Kinnear, developer of ResidentPortal believes the feature, called AI Assistant, is a game-changer for estate and complex managers, as well as for managing agent portfolio managers. “It’s probably the most exciting enhancement to the system since its launch seven years ago, and will be one more incentive to add more property management agents to our growing list of users,” he says.

It addresses both the delays in, as well as the quality of responses to requests, which radically reduces the potential for complaints and inevitable criticism of the scheme’s directors, trustees or portfolio managers, when residents feel they aren’t being properly served.”
How ResidentPortal’s AI Assistant works
AI Assistant is able to draft a response to the many requests that come into any HOA or Sectional Title manager on a daily basis, relating to security, pets, noise, rules, maintenance, finances and more.
For every request, the manager can click the ‘Show Ideas’ button and a list of possibilities can come up. Not only do these make it easy to reply to the resident, but they can also alert the manager to items that may need to be checked.
For example, if a resident logs a query on the system such as “Why is my water and lights bill so high compared to last month?” there could be multiple reasons for the apparent increase, from the supplier changing its rates, to a faulty meter or a leak in water supply pipes.
The potential response to the request includes a list of 10 different possibilities, giving the manager a birds-eye view of how he might accurately and effectively respond to the request.
In this instance, if he identifies that the cause of the queried bill is a change in supplier rates, he can then press the “Draft a reply” button and a perfectly-written, polite reply will appear on the screen. The manager can click “Use this draft” or click “Improve my reply”, edit the reply as he sees fit, and instantly send it to the resident.
The list of suggestions can direct the manager to take further proactive action, such as offering training to staff and residents on how they can reduce their electricity and water consumption, or encourage all residents to make use of renewable energy sources such as solar power to reduce the building’s reliance on grid electricity.
“These actions will be a useful follow-up to that one request by a resident, making it more than just a request management system, but also an ideas-base to act proactively to address, in this instance, soaring electricity costs that affect all residents,” says Kinnear.

AI Assistant adds a dramatic new dimension to an already feature-rich, centralised system that simplifies and streamlines management of schemes, from notifying of events and booking facilities, to registering domestics, cars, and pets, managing portfolios and uploading levy statements. A community chat group and links to local news resources makes ResidentPortal not only a highly efficient scheme management system, but also one that is friendly and easy to use.
ResidentPortal is developed and managed by Sandton-based software consulting and development company, Business Xponent Solutions (BXS). The estate communication platform is one of the products emerging from 20 years of experience in the software industry of its founder, Omar Kinnear.
